Voice 1st Diary Privacy Policy

Your thoughts. Your moments. Your diary.

Effective Date: 24 September 2026
Last Updated: 24 September 2026

Voice 1st Diary is developed and provided by Glenn Jones trading as Applied Latitude Consulting (“Applied Latitude”, “we”, “us” or “our”).

We recognise that a personal diary may contain some of the most private information a person records. Voice 1st Diary has therefore been designed around a privacy-first principle: your diary belongs to you.

This Privacy Policy explains how information is handled when you use Voice 1st Diary.

1. Our Privacy Principle

Voice 1st Diary is designed to minimise the collection and transmission of personal information.

Your diary entries, personal thoughts, photographs and related journal information are not collected by Applied Latitude for advertising, profiling or sale.

We do not sell your personal information.

We do not use your diary content for behavioural advertising.

We do not operate an advertising network within Voice 1st Diary.

2. Information Stored Within the App

Depending on the features you use, Voice 1st Diary may store information including:

  • diary and journal entries;
  • entry titles;
  • dates and times associated with entries;
  • text created from voice input;
  • photographs or images attached to entries;
  • manually typed notes;
  • app preferences and appearance settings;
  • security and access preferences; and
  • other information intentionally entered into the application by you.

The core diary database is designed to be stored locally on your device unless a feature you deliberately enable requires information to be processed or stored elsewhere.

3. Voice Input and Speech Recognition

Voice 1st Diary provides voice-first functionality that allows you to create diary entries using speech.

Where technically available, speech recognition may be processed using services provided by the operating system or device manufacturer, including Apple technologies.

Depending on your device, operating-system version, language and Apple service availability, speech recognition may occur on-device or may involve processing by Apple.

Apple's processing of information is governed by Apple's own privacy policies and applicable operating-system settings.

Applied Latitude does not use your voice recordings for advertising or user profiling.

4. Photographs and Photo Library Access

If you choose to attach photographs to diary entries, Voice 1st Diary may request permission to access your device's photo library or camera.

The app will only access photographs or camera functionality in accordance with permissions you grant through your device.

Photographs selected for diary entries form part of your diary content and are not used by Applied Latitude for advertising, marketing or profiling.

You can manage photo and camera permissions through your device settings.

5. Artificial Intelligence Features

Voice 1st Diary may provide optional artificial intelligence features as part of premium or future functionality.

AI features may require information that you deliberately select to be transmitted to an external processing service.

Where an AI function requires diary information to leave your device, Voice 1st Diary will identify that the feature requires external processing before that processing occurs.

AI functionality will not automatically transmit your entire diary merely because the feature is available.

Information submitted to an external AI provider may be subject to that provider's privacy and data-processing terms.

The specific AI providers and processing arrangements used by Voice 1st Diary will be disclosed in this Privacy Policy when those services are introduced into the production application.

6. Cloud Storage and Synchronisation

Voice 1st Diary is designed as an offline-first application.

If cloud backup, synchronisation or Apple iCloud/CloudKit functionality is introduced or enabled, relevant diary information may be stored within infrastructure operated by Apple.

Such information would be handled in accordance with Apple's applicable privacy, security and iCloud terms.

Cloud functionality will be described in this Privacy Policy before being made available as a production feature.

7. Authentication and App Security

Voice 1st Diary may provide security controls including:

  • device passcode protection;
  • an application PIN;
  • password protection;
  • Face ID;
  • Touch ID; and
  • other device-supported authentication mechanisms.

Biometric information used by Face ID or Touch ID is managed by Apple's operating system and secure hardware.

Voice 1st Diary does not receive or store your underlying fingerprint or facial biometric data.

8. Information We May Receive

Applied Latitude may receive limited information if you voluntarily contact us for support or another business purpose.

This may include:

  • your name;
  • your email address;
  • information contained in your support request;
  • information you voluntarily provide about your device or application problem; and
  • correspondence between you and Applied Latitude.

You should not send diary entries or other highly sensitive diary content to us unless it is necessary for resolving a support matter and you are comfortable doing so.

9. Diagnostics and Analytics

Voice 1st Diary will seek to minimise diagnostic and analytics data collection.

If crash reporting, diagnostic services or privacy-preserving analytics are introduced, this Privacy Policy will be updated to identify the relevant service and describe the information processed.

We will not intentionally use analytics systems to capture the contents of diary entries.

10. Purchases and Subscriptions

Voice 1st Diary may offer paid functionality or subscriptions through Apple's App Store.

Purchases are processed by Apple.

Applied Latitude does not receive your complete payment-card information.

Apple may provide transaction and subscription information necessary for us to determine whether you are entitled to paid functionality.

Apple's handling of payment information is governed by Apple's applicable terms and privacy policies.

11. Information We Do Not Sell

Applied Latitude does not sell diary content or personal information obtained through Voice 1st Diary.

We do not sell information about your diary habits, topics, photographs, voice entries or journal activity to advertisers or data brokers.

12. Advertising

Voice 1st Diary is not designed around advertising-based monetisation.

We do not intend to serve behavioural advertising based on diary content.

If this business model materially changes, users will be informed and this Privacy Policy will be updated before such practices are introduced.

13. Data Retention

Diary information stored locally on your device remains under your control.

Retention may therefore continue until you:

  • delete an individual entry;
  • delete associated information;
  • remove the application and its locally stored data;
  • erase or reset your device; or
  • otherwise remove information through available operating-system or application controls.

Information voluntarily supplied to Applied Latitude for support or business correspondence may be retained for a reasonable period where required for customer support, operational, accounting, legal or record-keeping purposes.

14. Data Deletion

You can delete diary entries using the functions provided within Voice 1st Diary.

Removing the application may also remove locally stored application data, subject to Apple's backup and device-storage behaviour.

Where information has been separately backed up or synchronised through a third-party or Apple service, deletion may also need to be performed through that service.

You may contact Applied Latitude regarding personal information that you have directly supplied to us.

15. Data Security

We take reasonable technical and organisational measures to protect information handled through Voice 1st Diary.

The application is being designed with security principles that include:

  • minimisation of external data transmission;
  • local-first data storage;
  • device-supported authentication;
  • secure operating-system storage technologies where appropriate;
  • encrypted communications where information must be transmitted electronically; and
  • restricted access to information used for support or administration.

No digital system can guarantee absolute security. Users should also protect their devices using appropriate operating-system security measures.

16. Children's Privacy

Voice 1st Diary is not intentionally designed to collect children's personal information on behalf of Applied Latitude.

Where a user is below the age at which they may independently consent to digital services under applicable law, use of the application should occur with appropriate parental or guardian involvement.

17. International Processing

Applied Latitude operates internationally and technology providers used by Voice 1st Diary may operate infrastructure in multiple countries.

Where personal information is transmitted to an external service, information may therefore be processed outside your country of residence.

Where such services are introduced, we will seek to use reputable providers with appropriate privacy and security safeguards.

18. Third-Party Services

Voice 1st Diary may rely on services supplied by third parties, including Apple, for functionality such as:

  • application distribution;
  • purchases and subscriptions;
  • device authentication;
  • speech recognition;
  • operating-system services; and
  • optional cloud functionality.

Third-party services operate under their own privacy policies and terms.

19. Legal Requirements

We may disclose information held by Applied Latitude where reasonably necessary to:

  • comply with applicable law;
  • respond to a valid legal process;
  • protect our legal rights;
  • investigate fraud or misuse of our services; or
  • protect the safety or security of users, our systems or other persons.

Because the core diary is designed to remain on the user's device, Applied Latitude may not possess diary information that exists only within that device.

20. Changes to This Privacy Policy

Voice 1st Diary will continue to develop.

We may update this Privacy Policy when application functionality, technology providers, legal requirements or information-handling practices change.

The current version will be published through the Voice 1st Diary privacy page on the Applied Latitude website.

Where a change materially affects how personal information is handled, we will take reasonable steps to make the change clear to users.
